ERASMUS COORDINATORSHIP
Purpose:
The Erasmus Coordinator is responsible for managing the mobility processes that enable department students to study or complete internships abroad within the scope of the European Union Erasmus+ program. This duty includes coordinating all academic and administrative stages—such as application, selection, course equivalency, and post-mobility procedures—in cooperation with higher education institutions across Europe and ensuring that these processes are conducted effectively, systematically, and in accordance with the academic calendar.
Duties and Responsibilities
Information and Orientation Activities:
Organizing information meetings for students and academic staff about the Erasmus+ program and providing details regarding application requirements and timelines.
Application and Selection Process:
Receiving Erasmus study and internship applications, ensuring that all required documents are complete, and conducting a fair selection process based on scoring and evaluation criteria.
Course Equivalency Planning:
Reviewing the compatibility of courses to be taken abroad with the departmental curriculum, evaluating Learning Agreement (LA) documents academically, and approving them.
Academic Monitoring of Students:
Monitoring the academic performance of students participating in the Erasmus program and carrying out course equivalency and grade conversion procedures upon their return.
Processes Related to Incoming Students:
Supporting incoming Erasmus students in course selection, advisor assignment, academic guidance, and adaptation processes within the department.
Coordination with the International Office:
Maintaining continuous communication with the University’s International Relations Office to ensure that departmental procedures are carried out in harmony with central administrative processes.
Monitoring and Updating Bilateral Agreements:
Ensuring the validity of Erasmus bilateral agreements with partner universities abroad in terms of duration, academic content, and departmental matching, and developing proposals for new agreements when needed.
Academic Advising Role:
Serving as the academic advisor for outgoing Erasmus students and guiding them in planning their academic activities during the mobility period.
Statistics and Reporting:
Regularly reporting data regarding participant numbers, partner institutions, mobility types, and success rates to the International Office and preparing internal departmental reports.
Cultural Orientation and Guidance:
Providing orientation support to incoming students regarding the campus, city, and department, and contributing to activities that promote cultural integration.
MEVLANA COORDINATORSHIP
Purpose:
The Mevlana Coordinator is responsible for ensuring the proper execution of the Mevlana Exchange Program at the departmental level, which supports reciprocal student and faculty exchange between higher education institutions in Türkiye and partner universities abroad. The coordinator oversees the management of application processes, preparation of protocols, course equivalency decisions, academic adaptation, and post-mobility procedures, ensuring that all academic and administrative tasks are carried out in a systematic and effective manner.
Duties and Responsibilities
Information and Orientation Activities:
Organizing introduction and information meetings for students regarding the Mevlana Program, including application requirements, quotas, and procedural details.
Application and Evaluation Process:
Receiving applications from students wishing to participate in Mevlana mobility, checking the required documents, and conducting eligibility assessments.
Course Equivalency Planning:
Examining the compatibility of courses students will take at partner institutions with the departmental curriculum and approving related learning protocols.
Academic Monitoring and Post-Mobility Procedures:
Monitoring the academic progress of participating students and managing equivalency and grade conversion processes upon their return.
Processes Related to Incoming Students:
Providing academic guidance to incoming Mevlana students in course selection, advisor assignment, and adaptation to the department.
Communication with the Institutional Coordination Office:
Maintaining regular communication with the Mevlana Institutional Coordination Office to ensure that departmental procedures align with central coordination requirements.
Updating Protocols:
Monitoring the validity of existing Mevlana protocols and contributing to the development of new protocols according to departmental needs.
Reporting:
Regularly reporting statistical and academic information regarding Mevlana mobility activities to the relevant coordination office.
Advising Role:
Providing academic guidance to students participating in the Mevlana program and offering support in resolving any challenges encountered during the exchange process.
FARABI COORDINATORSHIP
Purpose:
The Farabi Coordinator is responsible for the effective execution of the Farabi Exchange Program at the departmental level, which involves national student and faculty mobility between universities within Türkiye. This includes the planning and management of application, evaluation, course equivalency, academic adjustment, and grade conversion processes for students who study at another Turkish university for one or two semesters, ensuring that all procedures comply with the academic calendar.
Duties and Responsibilities
Management of the Application Process:
Receiving Farabi applications, evaluating their compliance with program criteria, and submitting them to the department administration.
Student Selection and Nomination:
Selecting qualified candidates based on academic performance and nominating them to the Farabi Institutional Coordination Office.
Course Equivalency Planning:
Reviewing and approving the compatibility of the courses to be taken at the host institution with the departmental curriculum and participating in the preparation and approval of the Learning Protocol.
Academic Guidance for Incoming Students:
Supporting incoming Farabi students in course selection, assigning academic advisors, and monitoring their academic progress.
Academic Adjustment and Grade Conversion:
Determining course equivalencies for returning students, preparing grade conversion tables, and managing academic adjustment procedures.
Information and Orientation Activities:
Organizing information meetings each spring semester to introduce the Farabi program, explain application procedures, quotas, and partner universities.
Inter-Institutional Relations:
Maintaining communication with partner universities and conveying departmental opinions to the Farabi Institutional Coordination Office to develop new cooperation protocols when needed.
Annual Reporting:
Reporting academic and statistical information on Farabi activities at the departmental level to the Institutional Coordination Office.
Advising Role:
Providing academic guidance to students participating in the Farabi program and supporting them in resolving any issues encountered during the mobility period.
Documentation and Archiving:
Organizing and archiving all documents related to the Farabi process, including learning protocols, grade sheets, and course equivalency decisions.
