Purpose:
The Orhun Exchange Program Coordinator is responsible for managing the processes that enable department students to study for one semester or one academic year at member universities of the Union of Turkic Universities (TÜRKÜNİB) within the scope of the Orhun Exchange Program. This role includes overseeing all academic and administrative procedures—such as application, selection, protocol preparation, course equivalency, academic adaptation, and post-mobility processes—in a timely, organized manner and in accordance with the program regulations.
Duties and Responsibilities
Information and Orientation Activities:
Organizing information sessions for students about the Orhun Exchange Program and providing details on application requirements, quotas, partner universities, and the overall process.
Application and Evaluation Process:
Receiving applications from students who wish to participate in the program, reviewing required documents, assessing eligibility, and submitting evaluations to the department administration and institutional coordination units.
Course Equivalency Planning:
Reviewing the compatibility of courses that students will take at the host university with the departmental curriculum, preparing course equivalency tables, and managing approval processes with relevant academic units.
Academic Monitoring and Post-Mobility Procedures:
Monitoring students’ academic progress during the mobility period and conducting course equivalency, grade conversion, and academic adjustment procedures according to institutional regulations upon their return.
Processes Related to Incoming Students:
Supporting incoming Orhun students in course selection, advisor assignment, and academic orientation, and assisting them during their adaptation to the department.
Communication with the Program Coordination Office:
Maintaining continuous communication with the Orhun Institutional Coordination Office and TÜRKÜNİB to ensure that departmental processes are aligned with institutional and program-level procedures.
Monitoring and Updating Protocols:
Ensuring the accuracy and currency of existing Orhun exchange protocols with partner universities and proposing new collaborations in line with departmental needs.
Reporting:
Regularly reporting student numbers, academic processes, and course equivalency details related to Orhun mobility to the relevant coordination office.
Advising Role:
Providing academic guidance to students participating in the program and offering support in resolving academic or administrative issues encountered during the mobility period.
